The Record of the Minutes

From the July 5th, 2007 meeting of the

Board of Directors of the Avalon Homeowners’ Association

 

 

Linda Smith called the meeting to order at 7:04 P.M.

 

Board members not present:  David Jackson

Residents Present:  10

 

¨     Minutes from the previous two Board Meetings were approved via e-mail vote.

 

Treasurers Report:

 

¨     Michele Harris gave the Treasurer's Report.  Unlike previously thought, the association is ahead of budget mainly because the payroll expenses budgeted for the Avalon Manager are less than the actual expenses incurred.  The association is about $10,500 ahead of budget for the year.

¨     Mitch motioned that the Treasurer's Report be accepted.  The motion was seconded by Scott and carried unamiously.

 

Committee Reports:

 

¨     Covenants:

o      It was noted that should members notice covenant violations that they should be reported to a Board member.

o      Lawn maintenance and lot appearance was stressed yet again.

o      The proper parking of recreational vehicles, boats, ATV's, and etc was stressed again.  These items should be parked in a garage or behind a fence and out of street-view.

o      A member suggested that a volunteer group be established to lend a hand on lawn and landscaping maintenance issues to elderly and injured members.  Interest will be gauged.

¨     Social:

o      The Ice Cream Party is set for July 14th at 6 P.M.  It will be held on the 2 lots and political candidates have been invited for a meet & greet.

o      Anyone who would like to volunteer to head or help with social events should contact a board member.

 

¨     Clubhouse & Pool:

o      Bob's pool service is set to begin the pool restoration around the first of next week.

o      The pool will be closed for up to a week during the work.

o      Termite damage has been found in the exercise room.  This will have to be repaired.  The association does not have a Termite Contract on the clubhouse.

o      Scott made a motion that the Board accept a bid from Dependable Pest Control for a Termite Contract on the clubhouse.  The motion was seconded by Sammy and carried unanimously.

o      No alcoholic beverages are allowed at the pool.  Please refer to the Pool Rules sign.

o      The painting of the doors and windows at the clubhouse has been completed.

 

Landscaping:

o      The plot was retrieved for the East Abbey Woods retention pond.  It looks like the association does own the entire pond.

o      Bobby Peoples offered to contact the owner of the property adjacent to the pond to see if that person has surveyed the boundaries.  If not, it was suggested that the Board pay for a survey and establish boundaries for the area.

o      The irrigation at the front entrance has been fixed.

 

¨     Manager's Report:

o      A $100 fine was levied against a member for swimming while having the clubhouse reserved.

o      Bids will be gathered for the cleanup of the downed trees left by the Entergy contractors.  Additionally, there are a few more trees that must be cut in the area.

o      A volunteer to head-up a Neighborhood Watch program is needed.  If you are interested, please contact a board member.

Old Business:

 

¨     None discussed

 

New Business:

 

¨     Tony made a motion that the board pay and accept the renewal of the insurance policy.  The motion was seconded by Scott and carried unanimously.

 

¨     A letter has been drafted and will be sent to Larry Swales in regard to a study for the addition of stop signs on Avalon Way.

 

Sammy made a motion to close the meeting.  The motion was seconded by Tony, and having no further business, the meeting was adjourned by Linda at 7:51 P.M.
