The Record of the Minutes

From the February 1st, 2007 meeting of the

Board of Directors of the Avalon Homeowners’ Association

 

 

Linda Smith called the meeting to order at 6:40 P.M.

 

Board members not present:  Tony Mickholtzick

Residents Present:  None.  This was a closed meeting

 

¨     Mitch Beckwith motioned to approve the minutes from the previous meeting as written.  The motion was seconded by Scott Reinhardt and passed unanimously.

 

Treasurers Report:

 

¨     Michele Harris gave a report of the financial condition of the Association, and discussed the amount of money available for improvements to common property.

¨     Michele also discussed the various insurance policies that the Association holds.  A meeting between the Board and our insurance agent was to be set up by Michele.

 

Committee Reports:

 

¨     Covenants:

o      The letter for the garage construction violation was sent via certified mail and return receipt requested.  The return receipt has not been received as of the time of the meeting.  If it is not received within a week, the letter will be re-sent via USPS Delivery Confirmation.

o      The status of various fines and liens for covenant violations was discussed.

 

¨     Social:

o      Planned social events for the year include a possible Neighborhood Watch Kickoff Party, the annual Easter Egg Hunt, and the annual Halloween Party.

o      Avalon’s first annual Neighborhood Garage Sale will be held on Saturday, May 5th

 

¨     Clubhouse & Pool:

o      All improvements and replacements have been made to the Exercise Room.  It was agreed that the room was in good shape for now.

o      The Board will begin to replace the furniture in the clubhouse.  It was noted that the couch and wicker chairs have become worn, and in some cases broken.

o      Along with the furniture update, new blinds will be installed.

 

 

¨     Landscaping:

o      David is to get a proposal drawn up for the reworking of the front entrance.  The existing landscaping has out-lived its usefulness.  Overgrowth, improper trimming, death, and bad design are making the front entrance look bad.

o      The county land rolls will be checked to see who actually owns and is responsible for the land that the pipeline in the back of the neighborhood runs through.

o      The sign for the Abbey Woods entrance has been ordered.

o      The stub-road at the end of Kings Ridge Circle will be sealed off with some type of barricade and shrubbery to prevent access to the neighborhood.

 

Old Business:

 

¨     The issue of road paving was discussed yet again.  It is the understanding of the Board that once construction is complete in Avalon – which it is – that Larry Swales indicated that the county would repave the roads in the front of the subdivision.  Linda Smith is to confirm this with Larry.

¨     Linda Smith is to confirm with Larry Swales the ownership and upkeep of the big ditch that flows to Old Fannin Road and possibly get the county to clean it out.

¨     The Board will ask Anne Smith to head up the Neighborhood Watch program for Avalon.

 

New Business:

 

¨     The Board has decided to send representatives to the meetings of the Federation  of Reservoir Homeowners’ Associations.

¨     Since inception, Matt Torres has provided the maintenance and hosting of Avalon’s website at no cost.  He has asked to be compensated.  The Board sees no problem with this, and will ask him to submit a proposal for his fees.

 

 

Mitch Beckwith made a motion to close the meeting.  The motion was seconded by Scott Reinhardt, and having no further business, the meeting was adjourned by Linda Smith at 9:30 P.M.
